Adding Additional Users to the CAS Module for a Client
Overview
This article explains how additional users are added to the CAS module for a client after the primary employer login has been created. Use this guidance when a client needs more than one user (for example, additional employees) to access the program.
How User Access Works in the CAS Module
The firm can only set up the primary employer login for the client. Additional users are created by the client's primary user after they log in. This ensures the client controls who at their organization has access to the program.
-
The firm creates the primary employer login through Accounting Power under Company Permissions.
-
Once the primary user logs in, they see both Accounting Power and Administration options.
-
The primary user creates any additional users from the Administration area.
-
Users set up with a Staff role require permissions to be assigned in Accounting Power > Company Permissions.
Step 1 — Firm Sets Up the Primary Employer Login
The firm creates the initial user for the client using the following steps:
-
Open Accounting Power.
-
Navigate to Company Permissions.
-
Select the appropriate permission settings for the primary user.
-
Save the primary employer login so the client can access the system.
Step 2 — Primary User Creates Additional Users
After the primary user has logged in, they can add other users at the client's organization:
-
Log in to the system as the primary user.
-
Select Administration.
-
Create the additional users who require access to the program.
-
Assign each user a role — for example, Staff — based on the level of access they need.
Step 3 — Assign Permissions to Staff Users in Accounting Power
If an additional user is set up with the Staff role, they will not automatically have access to specific areas of the program. Permissions must be assigned individually in Accounting Power.
-
Open Accounting Power.
-
Navigate to Company Permissions.
-
Select the staff member's name from the list.
-
Review the available permissions and check the boxes for the areas of the program the staff member should be able to access.
-
Save the permission settings.
Repeat this process for each staff member who requires customized access.
Tips for Managing User Access
-
Assign permissions on a least-privilege basis — grant only the access each user needs to perform their role.
-
Review user access periodically and remove or update permissions as team members change roles or leave.
-
Communicate with the client's primary user when new access is needed rather than adding users on the client's behalf.
-
Document each user's role and permission set so future audits or reviews can confirm access is appropriate.
