State Tax Filing Rejections: Common Errors and Resolutions

Overview

When filing state tax forms electronically, the state agency may reject submissions for various reasons. Below are common state-specific rejection messages and the steps to resolve each one.

Georgia DOL-4N: Duplicate Tax Report and/or Wages Found

What This Means: The state has already received a filing for this account for the specified period.

How to Resolve:

Contact the Georgia Department of Labor directly to obtain more information about the previously submitted report, as they can provide details regarding the filing on record.

 

Illinois 941: State EIN and Sequence Number Do Not Match

Message: "The Department does not have a Withholding account number on file with this sequence number. Please check your records and file with the correct StateEIN and StateEINExtension."

What This Means: The sequence number does not match the account number the state has on file. The sequence number is typically the last three digits of the account number.

How to Resolve:

  1. Verify that both the account number and sequence number are entered correctly.
  2. If a correction is needed, navigate to Setup > Employer > Tax Information to update the account number.

Indiana WH-1: Location Number Not Recognized

Message: "LocNbr is not recognized as a valid location number for associated Indiana State ID."

What This Means: The location number does not match the state account number on file. The location number is typically the last three digits of the Employer ID field.

How to Resolve:

  1. Verify that both the account number and location number are entered correctly.
  2. If corrections are needed, navigate to Setup > Employer > Tax Information to make the necessary updates.

Texas C-3: Completing Enrollment for E-Filing

After the request to file on behalf of your client has been submitted, the state of Texas will send an email to the administrator on file to approve the request. Please have the listed administrator check their email and complete the approval to proceed with e-filing.
